WE’RE HIRING

Receptionist

Lake Ridge Community Support Services has a part-time, contract position available for a Receptionist. The role includes providing receptionist duties and administrative support as required. The incumbent will work with internal administrative staff at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diverse workload.

This role is on-site in Whitby, Ontario. Current position will be 28 hours per week (Monday to Thursday, 7 hours per day, with 1 hour unpaid lunch break). Please note that the yearly salary is based on a 35-hour work week. Remuneration based on hours worked.

Qualifications

What’s your role?

  • Provides front desk support and office coordination for clients, staff, vendors and visitors including greeting and directing for appointments/meetings, answers in-person, telephone and website inquiries, manages general mailbox, maintains office equipment/supplies and parking inquiries

  • Prepares, delivers and receives mail and courier packages

  • Provides administrative support services to the Executive Director, Clinical Director, Operational/Program Managers, Clinical Managers and other departments, as assigned

  • Prepares/formats documents, supports admin/general mailboxes, books appointments, directs inquiries, schedules/organizes meetings, prepares agendas, arranges for hospitality services, prepares correspondence/emails and takes minutes at meetings

  • Provides client support including creating and discharging service codes, inputting critical incident data, performing client intake administrative tasks, data analysis, and creating new report templates for clinicians

  • Fax/scans/files and uploads documents to the client database

  • Maintains confidential files and client records ensuring confidentiality and compliance with information protection policies and procedures

  • Oversees and audits facility room bookings and assists with availability requests

  • Maintains library and assessment inventory, library booking database and answers employee inquiries

  • Provides front desk support for in-house events and employee training

What skills are we looking for?

  • College diploma and a minimum of two years’ related experience and/or equivalent combination of education and experience

  • Good verbal and written communication skills to effectively liaise with all levels of staff, including clinicians and clients, to provide information and/or obtain services, as well as to maintain discretion with confidential material

  • Good problem-solving skills to organize a variety of administrative tasks and activities meeting staff and clients’ needs

  • Good knowledge of Google Workspace, data management, as well as the ability to use office equipment efficiently

  • Strong attention to detail with the ability to multitask, prioritize workloads and handle multiple demands effectively

  • Excellent ability to coordinate activities, manage time and organize tasks

  • Ability to travel within the region and work flexible hours, as required

  • Knowledge of Autism Spectrum Disorder, Intellectual Disabilities and Applied Behaviour Analysis is an asset

Salary Range: $44,900 - $48,500 per year based on a 35-hour work week.  Remuneration based on hours worked (current vacancy is for a 28-hour work week).
